Which Staff member do I need to enter into my system?
Keeping information on Staff members in SchoolDESX depends on the job duties of the employee. This is broken down into two sections, Administrators and Instructors. You may have noticed when purchasing SchoolDESX that the two different Licenses offered were Administrator, meaning “Full-Access” and Instructor, meaning “Limited-Access”. Full-Access Licenses in SchoolDESX allow a User to have no limitations on which Students and Classes are available to that User. A Limited-Access License however, limits the User to only have access to the Student and Classes in which they are responsible for, which for this purpose means only those in which they are teaching. This is why the Limited-Access license is referred to as the “Instructor” License. This License was created to protect Student and Class records from SchoolDESX Users who should not have the ability to access every record in the system.

It is important to point out and make understood that Licenses are not part of SchoolDESX security. Security grants or limits rights within the system as to the specific access to Services and Activities as well as the controls that a User can gain or be denied from using. If the Security is set to allow an Instructor to see Student records, the License limits that Instructor from gaining access to those Students in which that Instructor has no affiliation, or on other words, is not teaching.

Therefore, if it is necessary for Instructor’s in your school to have access to the system so that they personally can enter in their Class’s Attendance and Grade information, then Staff members, specifically instructors, must be added. The Staff member record will be the record that ties an Instructor to a Class, which in turn will specify which Student records the instructor will have access to see.

The Administrative, or Full-Access License, allows a User to have no limits on their access to Student records or Class records. The only limits that they will have will be dictated by their Security rights, which will be covered at a later time in this manual. Staff member records are not required for these employees, or in other words, those who do not teach any Classes. This doesn’t mean that there is no reason to enter a Staff record in for these Users. Tracking employee information can be very important to a school. The point is just that it is not required as is would be for an Instructor.

I have several methods of Contact information for a Staff Member (Phone, Email, etc.). Can I enter all of them?
An unlimited number of Student Contacts can be recorded per each Staff Member. Different classifications can be kept per Method in order to separate which ones are primary and which ones are secondary.
