How are Asset records supposed to be
used?
SchoolDESX Assets are records that allow you
to track, manage, and allocate Asset Resources. Basically, Assets are items or
equipment that is purchased, or given to in some cases, that are used to provide
the school’s service to its customers. Keeping Asset records will allow for a
school to manage the use and scheduling of equipment, track item cost and
depreciation for taxes and auditing purposes, track an item’s disposition and
maintenance, as well as insurance information in case something is damaged,
lost, or stolen.
Keeping Asset records in SchoolDESX in not a necessity, though it can come in handy if there is a lot of equipment that needs to be carefully watched, in that it is used often or has a substantial price tag. If a school has limited resources and needs to carefully schedule equipment out to Classes or special Events, then recording Asset records may help in keeping from having scheduling conflicts. Because SchoolDESX allows for a User to store a picture of each Asset, as well as the ability to record Serial Numbers and Initial Cost, keeping Asset records may be required for insurance purposes in case an item is damaged or stolen.
Am I able to keep information about the Vendors of my Assets?
How do I assign an Asset to an Event or a Class? Selecting “Item” from the Resources section of either the Class Information for or the Event Information form presents the Locate Asset dialog in order for the User to Locate an Asset record that will be need to be present for this particular Event. When asked to do so, simply select the correct Asset (Computer, TV/VCR, ELMO) that this Event may need. If this Asset is not currently assigned to another Class or Event that is meeting on the same days and times as the current Event being scheduled, then no conflicts will be found and the Asset will be scheduled out for the times specified. If a conflict is found in this scheduling, the system will display a dialog notifying the User of this conflict asking if the User still wants to proceed or not. A User may choose to proceed with the scheduling despite the conflict if so chosen.
