Events: How To Use and Create a New Event Record

SchoolDESX offers a place for a User to enter all of your school's Events, such as holidays, in-service days, conferences, meetings, etc.Each of these Events is a scheduled activity in SchoolDESX and might be thought of as the school's calendar.A User can record all functions, school deadlines, non-school days, holidays and more as well as reserve rooms in your building(s) and other school resources for specific dates and times.The information entered into the Events form automatically displays that Event on the school's Master Calendar.

The primary reason for setting up the Master Event Calendar is to inform the system about the days in which Classes will not meet. Classes cannot begin to be scheduled until we have certain Events entered into the system.  Therefore, when a User begins to create the Class records for the upcoming School Term, SchoolDESX will know which days to skip when scheduling those Classes.  Obvious examples would be Thanksgiving Break, Christmas Break, Spring Break, etc.

As with most forms in SchoolDESX, begin by formulating how the series of records you are about to create will be structured.  How do you plan on using these Event records?  Will the Events need to shown on my Mast Event Calendar?  If so, what information about the Event will need to be displayed?  Which Events should I be most concerned with?  Do I only care about entering my "No Class" days, or should I enter records for meetings, conferences, etc.?  By thinking through a few steps before getting started, you can save quite a bit of time and keep from having to re-enter information later.

When you are ready to begin creating Event records, first navigate to the Event Information form by:

1.  On the Main Menu, choose Services > Events

2.  As with all Services, a Locate Event dialog will appear asking you to locate an Event record that was previously entered using fields that are specific to Event records.  However, because you are creating a new Event record, you will select "Cancel" on the locate dialog.

Select "New" from the bottom right corner of the form.  The form will become ready to begin receiving data.

Begin to enter the necessary information to create this Event record, beginning with the Event Type field.

Reference "Understanding the Data Fields on an Event Record" to further your understanding of the data fields on this form.

6.  Once you have completed entering the necessary information on the form, select "Save" in the lower right hand corner of the form.



7. 
If it is necessary to set this Event record to recur at some later time, then choose the Reoccurrence page.
8. 
Enter in the necessary information to have this Event recur without your having to reenter the Event the following week, month, year, etc.

9.  Once you have completed entering the necessary information on the form, select "Save" in the lower right hand corner of the form.



If you are creating an Event record that requires a Facility/Room to be scheduled, a Staff member to be present, or an Asset such as a projector, simply:

10.  Choose the Resource page.



11. 
Choose the desired Resources for this Event (See Event Information Form - Resource page  for more information about the resource options available).

12.  To begin entering another Event record, simply repeat this process.
